Hotel Room Responsibilities
Updated 10/10/2026

1. Room Captain Responsibility

The individual named as the Room Captain, whose details are provided via the LTTL Club website and at check-in, assumes full responsibility for any damages or losses incurred in their assigned hotel room during their stay.  This includes whether or not they are in attendance.  Room Captains assume responsibility for the room even when naming Room Deputies to collect keys and occupy the room. By agreeing to this policy, the Room Captain acknowledges that they will be liable for the costs of any damage, whether accidental or intentional, that occurs during their occupancy.

2. Room Bookings

All room bookings and room changes for a LTTL Club event must be made through the linked AccelEvents page. Any other means of securing a convention host hotel room (e.g., direct on hotel website, premium hotel brand loyalty perks, calling the hotel directly, through third parties such as Travelocity, Kayak, Trivago, Expedia, Orbitz, Hotels in America, etc.) will result in those reservations being cancelled. LTTL Club reserves the right to cancel host hotel reservations under extreme circumstances and that LTTL Club will make reasonable efforts to refill your reservation under those conditions. There are no room charges and no incidental charges allowed to be billed directly to the host hotel room.

3. Frequent Stay Programs

Hilton, Marriott, and Hyatt hotels offer a free membership in their Frequent Stay Programs.  Your hotel frequent stay program number(s) can be provided at the front desk during check-in. The Hotel front desk will advise whether your benefits, if any, can be used for the convention.

4. Hold Charge
At the time of check-in, a hold charge may be placed on the Room Captain's provided credit card. This hold charge serves as a security deposit against potential damages. You understand that you will be financially responsible for your own guest room and any damages to your guest room upon checkout. No room charges (e.g. meals, etc) and no incidental charges (headache medicine, personal hygiene, etc.) are allowed to be billed directly to your room.

5. Damage Assessment
Upon check-out, the hotel will conduct a thorough inspection of the room. If any damages are found, the Room Captain will receive an itemized bill detailing the cost of repairs or replacements required. A $500 biohazard room clean up fee will be billed to the room captain’s credit card for any feces left in the room upon check-out.

6. Billing and Payment
If damages or feces are identified, the Room Captain will be billed for the total cost of repairs or replacements. This bill must be paid in full within 30 days of the billing date. Should the Room Captain fail to settle the bill within the specified payment period, the bill will be charged to the Room Captain’s credit card used for the room booking.

7. Consequences of Non-Payment
Failure to pay the damage bill or the hold charge will result in the Room Captain being banned from all future conventions. Failure to pay may also invoke additional legal actions by the hotel and/or LTTL Club.

8. Refund of Hold Charge
If no damages are found and the room is left in satisfactory condition, the hold charge (when applicable) will be removed from the Room Captain’s credit card within 15 business days of checkout. Please allow additional time for your bank or financial institution to process and remove the transaction.

10. Agreement Confirmation
By accepting the Room Captain role, either by purchase or transfer, the Room Captain acknowledges understanding and acceptance of the terms outlined above.

All Sales Final.

Payment required in full; No Refunds.
